Q: Can I get a free trial?
A: Yes you can get a free trial. You can contact us to request a free trial. Once we qualify you, we'll set you up with a free trial. This free trial runs for 14 days, but can be extended as long as you need to make a decision. Just contact us to ask for an extension.
Q: Can I change my plan?
A: Absolutely. You can change your Plan, add or remove optional Plan Upgrades, Or do more design customization, at any time. If you make a change, well adjust the your invoice to account for the change from the next invoice date for monthly subscriptions, or we'll send an adjustment invoice for annual subscriptions at out next invoicing cycle (typically at the end of each calendar month). Q: What is Usage?
A: Usage is a combination of the storage space for your files, and the traffic used for Uploads, Downloads, Shares, Transfers and CDN (measured in GB) in any given month. Storage is the maximum amount of disk space occupied by your Assets during the month. For example - let's say that an Asset in storage of 20MB (a common size for a high res image) is downloaded 6 times in a month (we count that as 140MB or 0.14GB of Usage). Your Usage is shown in the Reports module in your Brandkit account.
Q: How many files can I store?
A: The number of files (e.g. logos, photos, videos, pdfs, etc) that you can store per plan will vary considerably based on the file format, file size, resolution, number of pages in a PDF, lenth of a video or audio, etc.
In Brandkit you typically store the high res version of Photos and our Conversions feature will offer smaller downloable files for users to choose from - saving you space. You can also use the Link asset feature to find Asset/Files stored elsewhere. This includes linking to YouTube videos (which normally consume a lot of space and traffic if uploadwed as a file) which consumes very little storage space or traffic in Brandkit.
Rule of thumb:
- Typical high res image is A4 at 300dpi = 3508 by 2481px - saved as a high quality RGB JPG - occupies 2 to 5 MB per file. Alternatively a compressed TIFF with LZW (lossless) compression is 10-15mb. We recommend High Quality RGB JPGs for most photos as these are goo enough for most print and screen mediums and are an efficient file format for file-size.
- 200 high res JPG images per 1GB of storage (at 5MB per image)
- 1000 high res JPG images per 5GB of storage 5MB per image)
- 10,000 high res JPG images per 100Gb storage (at 5MB per image)
- 100,000 high res JPG images per 1TB storage (at 5MB per image)
- Logo artwork when a vectior file (e.g. .ai,.svg,.eps,.pdf) are much smaller than 5mb typically
- Video and Audio files are much larger and vary widely in size — based on resolution, duration,frame rate, codec and bitrate. For example: a High Quality YouTube HD (1920x1080) video, 30secs long at 5mbps is approx 18.75mb
Q: What happens if I use up my included Usage?
A: If you exceed your plans included Usage in any month — we'll charge you the overage charge for each GB over your current plan's included Usage, unless you upgrade your plan by purchasing an Expansion pack. You can upgrade at anytime, by contacting us. For example, if you are on a plan with 100GB Usage, and you use 120GB, we'll invoice you $20 for the overage (20GB x $1).
Note than if you are on an annual plan, we'll invoice overage at the end of the year. and we'll take into account the whole year - so that if you are over in some months, and under in others, it might balance out so that overages don't apply.
Q: What's the difference between Annual and Monthly Plans?
A: Annual Plans are billed at the start of each annual period for 12 months in advance. In contrast Monthly Plans are billed at the start of each monthly period in advance. In both cases, the invoice is dated on whichever day the paid plan starts, and repeats every 12 months (annual) or every calendar month (monthly) until canceled. Overages are billed monthly or annually in arrears depending on whether your plan is a monthly or annual subscription. Depending on the plan selected, a discount may be available for an Annual Plan.
Q: Can I cancel my account?
A: Yes - you can cancel your account at anytime whether an Annual or Monthly subscription.
Note the following, when you cancel.
- Termination Date: When you cancel, the termination date will be the date your next invoice is due. That means when you cancel you can choose to use up any paid subscription period and the account will be closed on the termination date, or you can choose to close the account immediately. e.g. If we invoice you on the 5th of the month, your termination date will be the next 5th of the month, or if we invoice you on the 1st January 2022 , and you cancel in June, the termination date will be 1st January 2023.
- Monthly Subscriptions: Monthly subscriptions are invoiced in advance (in most cases), and so when you cancel your account, you won't see another invoice from us (unless there are overages), nor will we issue a credit for the period between the date you cancel and the termination date. If your superscription is invoiced in-arrears, we will send a final subscription invoice for the period, from the last invoice date to the termination date.
- Annual Subscription: Annual Subscriptions are a 12 months committment and paid in advance, and so you won't see another invoice from us, nor will we issue a credit for the period period between the date you cancel and the termination date, unless you cancel within the first 3 months of any annual period, in which case we'll refund 50% of any prepaid annual subscription.
- 30 Day Money Back Guarantee: If you cancel your account within the first 30 days (for any reason whatsoever), we'll refund you any paid subscription entirely, excluding any invoiced or paid setup or design fees.
- Overages: Irrespective of whether you are on a Monthly or Annual Subscription, any Overage, due for any period, prior to the termination date, will be charged in retrospect on the termination date.
- What happens to your content after cancellation: Your account will be made inactive on the termination date, or earlier if you request the account is closed earlier. Once the account has been made inactive, we will jeep your data and files securely stored for 30 days, before permanently deleting them.
Q: Are Unlimited Users really Unlimited?
A: Yes indeed. We realize many of our Customers, have a lot users who only visit once or twice, at best occasionally - making per-user pricing an expensive option. Instead of charging for users, we charge based on Usage (Assets stored and Assets Uploaded, Downloaded, Shared, etc) irrespective of the number of users.
Q: How do I work out how much Usage I'll need?
A: Usage has two components - file storage and traffic. It's easy to work out how much file storage you need, by looking at your the files you want to manage in the DAM (high res versions only) and how much space those files occupy on your computer or on your network storage devices, and in online storage services like Dropbox, etc, and adding up the storage space those files are using.
The traffic component is a little harder to predict, as traffic tends to fluctuate month to month. Most customers can get by with a 1:1 ratio of storage to traffic. However your traffic may be a higher in some circumstances. Such as when you have a lot of users, or have a lot of video content combined with a lot of users, etc. And if you have a lot of files archived but limited traffic (common with customers on the Team Edition with fewer users) you might find a 1:1 ratio of storage to traffic works for you.
Traffic is driven by a few factors:
- Number of Users
- Average file size
- Popularity of your Brand/Content
- How many Videos you have
- Whether you are using the Embed feature (where every view counts towards CDN traffic). This is particularly important to consider if you are embedding videos on highly trafficked websites.
If you have have a lot of users, or your content is popular, or you have many videos (which are relatively large), or are using the Embed feature, then it's likely your Traffic will be higher (greater than a 1:1 ratio).
In this case you should consider a larger Usage plan (even if you don't need the Storage), because you'll need the Traffic. This will save you approx 50% of any overage costs should they occur.
One strategy is to start small, pay the overage costs, and see how it goes, and then upgrade later.
Q: Who is regarded as an Admin?
A: Any user belonging to a User Role with access to the Admin area of your account is regarded as an "Admin" for access, reporting and billing purposes. Including the User Roles - "Admin" and "Owner".
Q: Who is regarded as an Owner?
A: Owner is an explicit role in Brandkit and is explicitly appointed. The Owner role has all the rights of an Admin and few more. Each account can have multiple owners.
Q. Can I get a discount for high volume storage or usage?
A: Yes, ask us about discounted rates for higher committed Usage (storage and traffic).
Q. Do you offer discounts for registered charities?
A: Yes we do, ask us about discounted rates for registered charities.
Q. What does Implementation cover?
A: Implementation is the overall term we use to cover both onboarding and custom design services.
Q. What does the Onboarding Fee cover?
A: The Onboarding Fee covers: account setup and configuration, branding your Portal, a custom domain name, orientation and training for account admins, and in some cases migration of content assets from legacy systems.
Fees vary from $500 to $5000 or more, depending on each customers requirements which vary widely.

Q: What does the Custom Design fee cover?
A: The Custom Design fee covers setting up a design project based on a design brief from the customer. The custom design process includes gathering of your requirements and design assets (e.g. logos, images, fonts, icons, etc), coding a custom design theme, coding custom pages and navigation, reviwing with the customer, making cedits and changes, and finally deploying the custom design to your Brandkit Portal.
Custom design costs vary widely, but range from as low as $1k to $tens of thousands, dependent on customer requirements and the design brief provided.
Q: Is A DAM like Brandkit® it worth it?, what sort of ROI will I get?

Q: What is Enterprise Backup?
A: Enterprise Backup is an optional additional safety measure for larger organisations that require it. It is automated backup to a separate AWS S3 Storage Account/Bucket that the client owns and controls. Once setup we send a copy of your uploaded files (including all versions) to a nominated AWS S3 storage account. Uploaded files only, does not include Posts, Links or Metadata. More on this here.
Q. How many AI Tokens will I need?
A: We use OpenAI's API to programmatically request image analysis for automated tagging and describing images. You can turn auto tagging on or off and you can edit the standard prompt used in your account settings (Admin > Settings > Automation). CharGPT (OpenAI) charges us a fee for Token use which we pass on to customers. Our plans have some included Tokens and an overage fee for additional Tokens used during your billing period.
Token use varies based on the size of the prompt used and the resulting response from OpenAI's api.
For example auto-tagging an image takes around 600 to 1000 tokens per image depending on the prompt used and the response given. So as a rough guide 100,000 tokens will be needed to auto-tag between 100 and 166 images. 1 million Tokens will be needed to autotag between 1000 and 1660 images.
Q. Can I upgrade my Usage?
A: Yes, you can upgrade each Edition (Team, Pro and Enterprise with additional Usage at a discounted price by adding an Expansion pack to your plan. Expansion Packs are available at the following size/price combinations: 100GB at $75/mth, 500GB at $300/mth, 1TB at $500/mth. For more than 1TB we'll need to quote you.
